2027 Junior Residence Undertaking

1. DEFINITIONS
   The following words shall have the meanings set out opposite them and capitalised terms used throughout this Undertaking shall have a corresponding meaning:
   1.1. “Contract Terms and Conditions” means the UFS’ official document setting out the HRA’s contractual terms and conditions, pertaining to a student’s tenancy in a junior residence of the UFS;
   1.2. “HRA” means the Housing and Residence Affairs office of the UFS;
   1.3. “Prospective Student” means a student who intends on registering as a student of the UFS;
   1.5. “Registration Period” means the official registration period of the UFS, which dates are determined and announced annually by the UFS in accordance with its academic calendar;
   1.6. “Residence – Akasia
   1.7. “Residence Manual” means the manual applicable to residences and accommodation facilities of the UFS, which is available upon written request from the HRA and Student Communites a Division of Student Affairs;
   1.8. “Rules and Regulations” means the rules, regulations and policies of the UFS, as amended, substituted or varied from time to time;
   1.9. “Student” shall refer to the student/individual whose details are indicated in the information block above, irrespective of his/her registration status (if the context so requires);
   1.10. “The Residence Head” means the head of the Residence;
   1.11. “UFS” the University of the Free State including employees, contractors and agents of the UFS; and
   1.12. “Undertaking” means this undertaking by the Student in accordance with which he/she acknowledges and undertakes to comply with the terms and conditions as set out herein.

2. APPLICATION
The content of this Undertaking is applicable during the Registration Period and beyond for the duration of the Student’s tenancy in the Residence and must be read together with
The Rules and Regulations of the UFS, including (without limitation) –
2.1. The rules and regulations pertaining to residences as contained in the Residence Manual; and
2.2. The HRA’s Contract Terms and Conditions.

3. DECLARATION
3.1. I, the undersigned Student/Prospective Student, hereby voluntarily subject myself to the authority of the
UFS, specifically (but without limitation) the Senior Director: Housing & Residence Affairs; Assistant Director: Student Communities; Residence Head; and Residence Committee/Assistants.
3.2. I, the undersigned Student/Prospective Student, further accept that my placement in the Residence is subject to my anticipated registration as a student with the UFS, which must take place within or before the end of the Registration Period in order for my accommodation in the Residence to be confirmed and/or to continue for the rest of the academic semester (6months) / year (1 one).

4. UNDERTAKING
4.1. I, the Student/Prospective Student, by signing this undertaking hereby acknowledge and undertake to -
4.1.1. comply with the Rules and Regulations of the UFS and undertake to familiarise myself with all the rules, policies, procedures and/or instructions prescribed and/or communicated by the UFS from time to time;
4.1.2. subject myself to the rules, regulations and protocols of the Residence as required and directed by UFS;
4.1.3. familiarise myself and adhere to the Contract Terms and Conditions which are applicable to all residence students residing within a UFS residence during the Registration Period and beyond for the duration of my tenancy in the Residence;
4.1.4. register as a UFS student within or before the end of the Registration Period;
4.1.5. Notify the Division of HRA in the event that I am not a registered student upon expiry of the Registration Period; and
4.1.6. Immediately vacate the abovementioned Residence, return all Residence keys as well as any Residence property which may have been granted to me in the event that I am not registered as a student of the UFS before or by the close of the Registration Period as contemplated in paragraph 4.1.5 above.
4.2. Should I not adhere to the content of this Undertaking, I understand and accept that the UFS shall take measures against me in accordance with its Rules and Regulations in this regard. I further accept that these measures will be applied (subject to application and discretion of the UFS) and may take the form of immediate evacuation (without limitation).
4.3. I acknowledge that I have read this Undertaking, understand its contents and agree to its terms and conditions. I further acknowledge that I am signing this undertaking freely and voluntarily.
4.4. I hereby declare my age on the date of signature hereof to be _________ years

I, the undersigned Student, confirm that I understand the nature and extent of the undertaking described herein as well as the junior accommodation contract terms and conditions and further confirm that I intend to be bound fully by the previously mentioned provisions, in confirmation of which I duly sign and attest to this Undertaking.
